Harvard Business Review found that leads contacted within five minutes are nearly nine times more likely to convert than leads contacted within thirty minutes. Leads contacted within sixty seconds convert at rates that are functionally double that. For service businesses, speed-to-lead is the single biggest unforced error in most sales operations.

Why 60 seconds matters

Most local businesses we audit have lead response times measured in hours. The lead arrives in an inbox. Someone sees it eventually. By the time they call back, the prospect has already booked with a competitor.

The system, end to end

Component one: a single intake point for every lead source. Web form, paid social, Google Local Services, phone call — everything routes into one queue. We typically use HubSpot, GoHighLevel, or a custom Make.com flow depending on the client's stack.

Component two: instant SMS to the prospect. Within thirty seconds of the lead arriving, an automated text goes out: "Hi [name], this is [business]. We got your inquiry about [service]. Are you available for a quick call now or would [time] tomorrow work better?"

Component three: Slack or SMS alert to the on-call team member, with a five-minute response SLA. If they don't acknowledge in five minutes, it escalates.

Component four: after-hours fallback. Leads that come in outside business hours get a different SMS: "Hi [name], we got your message at [time]. We'll call you at 9 AM tomorrow unless you tell us otherwise."

Component five: failure logging. Every lead that doesn't get contacted in under sixty seconds generates an alert. Owners get a weekly report of leaks.

Real numbers from a real client

We deployed this exact system for a four-tech HVAC company in Naperville. Before automation, average response time was three hours and forty minutes. After automation, average response time was forty-eight seconds. Booked appointments from inbound leads went from twenty-two percent to forty-one percent in the first sixty days. Same lead volume. Same techs. Just plumbing.

Speed-to-lead automation is one of our most-requested standalone projects. Project pricing starts at $1,200.
